How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To manage your membership of the network, including to maintain an internal database of members and to provide access to any user-only area of this website.
- To provide you with the services associated with membership, including but not limited to information about events and inclusion in the publicly searchable directory.
- To respond to your queries regarding joining the group and information about the group.
- To facilitate communication between members of the group.
We use the information that you have given us in order to fulfil the above purposes. We will not provide any of this information to third parties.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting the Network Coordinator (f.gray@grayscaletranslations.co.uk).
(b) Our legitimate interest.
How we store your personal information
Your information is securely stored on an internal database in the form of an Excel file held by the Network Coordinator.
We do not keep the above-mentioned types of data for any longer than the period necessary to fulfil the purpose for which it was collected or for the period required for legal, accounting or reporting requirements, whichever is longer.
Your information will be deleted immediately should you ever leave the network.
Third-party gathering of personal data
Our website may contain embedded content from other websites, such as Twitter. This embedded content behaves in the same way as if you had visited that website, which means it is governed by that website’s privacy policy.

Date of revision
This privacy policy and the membership data held will be revised at the end of the membership year (31 August). Anyone choosing not to renew their membership will be removed at this time and their information will be deleted. Members may request erasure or amendment of their details at any time.
